Before you download or share
Download and share options depend on item type, file availability, workflow state, rights, content warnings and your permissions.
- Check the item workflow state before delivery.
- Check rights, credit, consent and content warnings.
- Check whether the item is in a restricted folder or collection.
- Use Permissions or ask a System Manager when access is unclear.
Look For In Sprint
- Download and Share appear where your permissions allow delivery.
- Selections and result lists may show group actions for more than one item.
- Permissions, workflow state, warnings and rights should be checked before delivery.
Download an item
- Open the item page.
- Choose Download.
- Review the number of items included in the download.
- Select the required download option. Images and videos may offer size, format, compression, watermark or version choices where configured.
- Use advanced filename or metadata options only when they are needed for the delivery.
- Confirm the downloaded file is the expected version before sending it on, especially where derivatives, watermarks or embedded metadata are part of the delivery.
Note: downloads may be unavailable if the file is missing, restricted, locked by workflow, or not permitted for your account.
Download or share groups
Result lists, folders, collections and selections can expose group download or share actions where permissions allow.
- Use selections to build the group deliberately before delivery.
- Use the download action from the Selections panel or selected result context where available.
- Review the item count before downloading or sharing.
- Check whether restricted items are included in the selected set.
- Use collections for curated groups that need repeat use.
- Use smart collections only when the search criteria are stable and understood.
